Information we collect

Depending on how you use the website, we may collect:

  • your name, organisation, billing and delivery addresses, email address and telephone number;
  • account login details and your account preferences;
  • order, payment-status, delivery, collection, refund and customer-service records;
  • product choices, personalisation instructions, uploaded artwork and design correspondence;
  • messages, quote requests, reviews and other information you choose to send us; and
  • technical information needed to operate and secure the website, such as IP address, device and browser information, security logs and essential cookie identifiers.

Card details are entered into the secure service provided by the payment provider available at checkout. We receive the payment result and transaction reference rather than storing your full card number.

Information you need to provide

Contact, delivery or collection, order and payment information marked as required is needed to create an account, prepare a requested quote or fulfil a contract. Without it, we may be unable to provide that service. Optional fields are identified separately. Most information comes directly from you; we may also receive payment results from a payment provider and delivery updates from a courier.

How and why we use personal information

What we do Our usual lawful basis
Provide quotes, prepare designs and answer pre-order questions Taking steps at your request before entering into a contract
Process payment, make, deliver or arrange collection of an order, and provide after-sales support Performance of our contract with you
Keep invoices, tax records and records required by law Legal obligation
Prevent fraud, protect accounts, secure the website and establish or defend legal claims Our legitimate interests in running a safe and accountable business
Improve our products, service and website using proportionate operational information Our legitimate interests, or consent where the law requires it
Send optional marketing Your consent, or the permitted customer “soft opt-in”, with an unsubscribe option in every message

Where we rely on legitimate interests, we consider the effect on your rights and use only what is reasonably necessary. You may object to direct marketing at any time.

Your right to stop direct marketing

You have an absolute right to object to the use of your personal information for direct marketing. Use the unsubscribe option in a marketing message or contact info@wristbandsplus.co.uk. We will stop that marketing without charging you.

Artwork and information about other people

If your artwork or order contains somebody else’s name, image or contact details, you must have permission or another lawful reason to provide it to us. This is especially important where material concerns a child. Please provide only the information needed to produce the order. We use submitted artwork and personalisation information to prepare the quote, proof or finished product and to resolve related queries.

Who we share information with

We share information only where needed with trusted service providers, such as website and email hosting providers, payment processors, couriers and collection services, print or fulfilment partners, IT support, accountants and professional advisers. We may also share information where required by law, to protect legal rights, or in connection with a business sale or reorganisation.

We do not sell personal information.

International transfers

Some technology providers may process information outside the UK. Where this happens, we use a lawful transfer mechanism, such as UK adequacy regulations, the UK International Data Transfer Agreement or an approved UK addendum, together with appropriate safeguards where required.

How long we keep information

We keep information only for as long as it is needed for the purpose described, including customer support, warranties, disputes, fraud prevention and legal, tax or accounting duties. Order and invoice records are generally retained for six years after the relevant accounting period. Accounts are kept while active and are reviewed when no longer used. Enquiries and artwork that do not become an order are periodically reviewed and securely deleted when no longer required. Backup copies and security logs are removed on their normal protective cycles.

Your data-protection rights

Depending on the circumstances, you may have the right to ask for access to your information, correction, deletion, restriction, portability, or to object to its use. Where processing is based on consent, you may withdraw that consent at any time without affecting earlier lawful use. These rights can be subject to legal limits.

To exercise a right, email info@wristbandsplus.co.uk. We may ask for information needed to confirm your identity.

Automated decisions

We do not use personal information to make solely automated decisions that produce legal or similarly significant effects. If this changes, we will explain the logic, likely effects and available safeguards before the processing begins.

Data-protection complaints

You can raise a data-protection complaint by emailing info@wristbandsplus.co.uk with “Data protection complaint” in the subject line, or by using our contact page. We will acknowledge a complaint within 30 days, investigate it appropriately, keep you informed and explain the outcome without undue delay.

You also have the right to complain to the Information Commissioner’s Office. Visit ico.org.uk/make-a-complaint or telephone 0303 123 1113.
